Excel Batch Import – How It Works

Would you like to import multiple employees at once? Here’s how it works:

  1.  Export the active user list as an Excel file via the “Active Users” tab.user_batch_import_EN_2

  2. Update the user data in the Excel file:
    - Add new employees as a new row. Remove employees who have left the company if necessary.
    - For each user, only the following data fields are required:

    • Email
    • First and last name
    • Role

    📌 The role “Manager” in onyo means that this person has permission to approve or reject orders, regardless of their job title.

    📌 The “Group” tab allows you to organize employees for easier management, for example by:

    • Assigning different budget limits
    • Defining different approvers

    ⚠️ Groups must be created before the import via the “User Groups” tab.

    📌 Using “Activated at”, you can schedule employees to be activated on the onyo platform at a later date. If the option “Send welcome email” is enabled in the general settings under Communication, employees will automatically receive a welcome email on the activation date.
    📌 It is recommended to manage different “budget limits” via groups so that adjustments can be made centrally when needed.
    📌 If the option “Send welcome email” is enabled, new employees will automatically receive a welcome email on the activation date.
    📌 Deleted users: If employees are not included in the new Excel list, they will appear under “Deleted Users”. Want to keep them? Simply activate the “Do not delete” option. 

    ⚠️ Achtung: Das Arbeitsblatt in der Importdatei darf nicht umbenannt werden!

     

  3. Upload data

    📌Tip:
    Under “Deleted Users”, you will find employees who are no longer listed in the Excel file. If you still want to keep them, simply activate the “Do not delete” option.

  5. Start import
    Click “Import” to start the process. 🚀
